Email, meetings and calendar: AI in everyday work
The habits that save an hour a day: a tidy inbox, faster replies, meetings that produce decisions, better-planned days.

In short
- Time is recovered in small, frequent activities: email, meetings, planning.
- Connect the assistant to email and calendar read-only to start.
- Meetings are worth the decisions and actions they produce: have AI extract them.
- An assisted weekly review stops important things slipping.
Email: from pile to list
Assistants with connectors (Gmail, Outlook) can read your mail and help you decide what to do. Start like this:
For replies, always give the missing context: what you want to achieve, the tone, what not to promise. The best drafts come from two lines of yours, not “you reply”.
Drafts, not sends
Let AI prepare drafts, but you press “send”. Emails sent by mistake can’t be recalled, and an agent with send permission is also a security risk (see the guide on agents and prompt injection).
Meetings: less time, more decisions
Before. Ask for an agenda with the goal, the 3 decisions to make and the information needed. Send it to participants: half of meetings shorten by themselves.
During. Use automatic transcription (telling participants) instead of taking notes: you stay present in the conversation.
After. From the transcript, have it prepare the decisions taken, tasks with owner and deadline, and the questions still open. Reread before sending the recap.
Calendar: protecting the time that matters
With the calendar connected, the assistant can also find free slots for a meeting or prepare a summary of tomorrow.
The Friday review
Ten minutes a week that change everything: ask the assistant to go through the emails still open, next week’s commitments and the three priorities to focus on.
You can make it a scheduled task: every Friday at 5pm the assistant prompts you to start it.
Memory and notes
Assistants’ memory features remember your preferences; for everything else use one place for notes (a project, a notebook, a document) the assistant can read. Information scattered across ten apps can’t be found by anyone, AI included.
In practice
- Connect email and calendar read-only and try the morning triage for a week.
- For every meeting: agenda before, actions after.
- Focus blocks in your calendar, defended like appointments.
- The Friday review, ideally scheduled automatically.
